Race Numbers
- It is a race rule that all participants must have their race number clearly visible on their front torso at all times during the event. This is important as marshals will monitor competitors progress around the course and require to be able to view each runners number. Non-compliance will result in penalties
- The race number can be worn on a race belt, or attached to the outermost garment on your front torso using safety pins.
- Ensure the number is safely secured. If your number is lost on the course, please report the loss to the Race Director immediately.
- Participants are not permitted to enter the course without displaying their allocated number.
- Numbers are not to be cut, altered, disfigured, damaged, covered or obscured in any way. Penalties, disqualification and/or fines will apply in this circumstance.

- Attach the timing band to your left ankle, with the chip facing outwards. If you’re not sure please see one of our friendly marshals at Race HQ.
- Ensure the timing chip is fixed securely as it is the participants responsibility to return the timing strap on completion of the event. If the strap is not secure or there are any issues with the velcro please report this to an event marshal before the start of the event so this can be fixed prior to the start.
- Participants agree to return the timing strap on completion of the race. In the event where at timing chip is lost, or not returned at the end of the event a $50 replacement fee will be charged to the participants credit card
COMPULSORY EQUIPMENT CHECKS
All athletes taking part in Trail Run Australia must have their compulsory equipment checked BEFORE collecting race packs at registration.
If athletes fail an equipment check at registration they will need to find a replacement item before collecting the race pack.
So the key take out is… Have ALL the compulsory and discretionary equipment with you at Registration.
Equipment List
WHY IS COMPULSORY EQUIPMENT REQUIRED?
Basically it’s so you can have a safe and enjoyable event and you have options to look after yourself in the unlikely event of an injury or illness.
View full details here
ON COURSE EQUIPMENT CHECKS & PENALTIES
Random equipment checks can occur at any time during the event. For fairness to all athletes, a 30 minute time penalty will apply for every item that is missing. This time penalty will be served at the location of the equipment check point so a runner will not be able to proceed on course until the time penalty is served.
During this time, the runner must arrange for the missing items(s) to be replaced or they will not be permitted to continue on course even after the time penalty has been served. For severe breaches of compulsory equipment or failure to comply with the requests of event marshals, the runner may be disqualified.
Where it is not feasible to serve a time penalty on course, the time penalty will be added to the runner’s overall
NUTRITION & HYDRATION
Nutrition and hydration play a major part in your experience at the event, it can mean the difference between finishing or not making it to the finish line and will definitely make a difference in your performance and enjoyment on the day.
It is recommended that athletes train with their planned nutrition before the event so your body is used to what will fuel it on the day.
Aid Stations, are located on the course. Please refer to the Aid Station information here for full details.
MEDICAL
Trail Run Australia has experienced medical and first aid personnel located at check points throughout the course, however, some of the course includes remote wilderness trails which may mean that medical assistance can take longer than usual to arrive. Below are some tips that could assist you in avoiding a medical situation or managing one if it occurs.
- Stay well hydrated: Hydrate well before the start. Urine that is clear before you start the event is a good indicator that you are well hydrated. Drink regularly and often throughout the entire event.
- Stay well fuelled: Your body needs fuel to function and even more so during strenuous activity. Feed it! Train with the nutrition you will use on the day so your body knows what to expect. Take small snacks often.
- Be prepared for the weather conditions: Plan your clothing and equipment to match the weather conditions on the day.
- Look after each other: We’re all out here to have a great time and enjoy the event, look out for other athletes, assist in an emergency and report any incidents or concerns to the next marshal on the course. Support each other along the way.

Race Rules
A good and fair race always includes a few rules and to ensure you can enjoy your race it’s a good idea to have a read of the race rules BEFORE the start of the event.
These rules will be applied by the Race Director and ignorance is not an excuse that can be accepted.
A copy of the Trail Run Australia Race Rules can be viewed here
Safety & First Aid
Your safety is a key consideration; however, trail running events do involve risk. Dedicated first aiders are on hand at Race HQ and on the course to assist where necessary.
3 Safety Rules
- Stop and assist any competitor that is in need of emergency assistance.
- Report any incident to the next available marshal or emergency radio point on the course.
- Compete within your abilities.
On the course there are a number of things you can do to assist yourselves and fellow competitors:
- Slow down in steep or technically challenging areas.
- Run on the left hand side of tracks.
- Compete within your limits.
- Let common sense and courtesy prevail. We want to see you safe and sound at the end of the event.
First Aid
First Aid will be located at Race HQ and at manned check points on the course. This will be identified at the safety briefing.
Check Points
There are check points on the course, staffed by First Aid Qualified team members. These are marked on the course map at HQ.
Emergency Evacuation
In the event of fire or other emergency, follow instructions from event officials. On the course marshals will direct you back to the Evacuation Meeting Point at HQ. Please follow instructions from Emergency Personnel and/or event officials.
YOUR SAFETY IS OUR CONCERN AND YOUR RESPONSIBILITY
Insurance
In2Adventure has public liability insurance. This DOES NOT cover you as a participant. If you fall over or hurt yourself, there is no accident cover for you. In2Adventure strongly recommends that each participant has their own personal accident insurance. Each participant has been required to read & accept the RELEASE & INDEMNITY WAIVER when registering online.
Unsolicited Promotion
Our event partners have been extremely generous in supporting this event so we can all enjoy the sport we love. We reciprocate that support and therefore no signage, flyers, promotional banners, promotional tents, branded vehicles, sales, service or trade displays are permitted to be set up within the Race HQ or car parking areas without written authorisation from the event directors.
Please be respectful of this to avoid being asked to remove tents etc.
Please see the ‘Event Promotion Policy’ displayed on the Policy page.
Environment
In2Adventure is committed to maintaining a minimal impact policy that will protect the environment and enable us as individual members of the general public and members of the outdoor community to continue to enjoy the vast natural environment that is Australia’s backyard. Therefore we ask that competitors read and agree to abide by the Bush Code outlined in our Environmental Policy and ensure that no rubbish, gel packets or wrappers are dropped on the course during the event.

PORT STEPHENS MULTISPORT FESTIVAL – COURSE UPDATE
The team have been out checking the course ready for next weekend’s event. Like the previous event the recent rain has impacted some of the trails within Tomaree National Park, however, the good news is that a contingency plan has been put in place and we are able to move forward with the event as planned.
WHAT’S CHANGED?
On part of the TreX MTB course and the Trail Run Australia TRA21 Half Marathon and TRA12.5k course there are some short sections of fire trail which have water across them. These sections have been ridden and driven to ensure they are passable. These sections will be marked with warning signs and cones showing where to ride/run to ensure you stay on the hardened road base underneath, and like always when you’re racing, athletes are to show due caution when traversing these sections.
There are two short sections on Sewer Trail on the TreX MTB Course between CP 5 and CP 6, and three short sections at the northern end of Anna Bay Boreline Road near CP 7.
One of the steep fire trail climbs on the TRA Half Marathon and TRA12.5 has also been bypassed onto the adjacent fire trail to avoid the deep water.
This means that in these sections your feet will get wet, so please plan for this when choosing your footwear for on the bike and on the trail run.
These sections have been highlighted on the updated map for your reference.
We would like to take this opportunity to thank you for your understanding as we implement the contingency plan to keep the event on track and we look forward to welcoming you all along to enjoy some well-deserved off road fun next weekend in spectacular Port Stephens.

Course Closure
At In2Adventure we don’t usually have cut off times and wherever possible make every effort to enable competitors to finish the event. The only exception to this is:
- To continue in the event poses a risk to the participants safety;
- There is not sufficient daylight hours to enable the participant to finish safely;
- Permit times do not permit an extension of the event times; or
- Logistics and staffing do not allow this.
With that in mind, it is however expected that entrants will have trained to be able to run the majority of the event. Expected latest finish times for this event are:
- Half Marathon | 3:20
- 11.5k | 2:00
- 6k | 1:00
We focus very much on ‘participation’ which is one of our key corporate principles and within reason make every effort to allow each participant to finish where it is practical.
Course Signage
The trail run course is signed with red and white In2Adventure arrows, cones and tape. Follow the course as indicated by the signage. It is important to note that the course will also be marked for the TreX Cross Triathlon so please ensure to follow the trail run signage.
In locations where the courses take different routes, A3 signs will be in place indicating the course ie Half, 11.5k, 6k etc
Marshals will be in place at strategic points throughout the course, however ultimately it is up to each competitor to know and follow the correct course route.

Unable to attend due to Illness – Within One Week of the Event Date
As per the event refund policy, no credit or refunds are applicable from one week prior to the event date. This is due to the fact that by this time 99% of costs have been invested in the delivery of the event and in most cases cannot be recouped if a participant cannot attend.
Over the past three years with the impact of COVID-19 In2Adventure have continued to monitor an ever-changing environment and have adapted the refund/credit policy to minimise, as much as possible, the impact of COVID-19 on the events and their attendees.
Based on the current situation, with COVID-19 patients required to isolate for 5-days, In2Adventure will honour the following for the Port Stephens MultiSport Festival on 17-18 Sept 2022:

Frequently Asked Questions
Why Have Compulsory Equipment?
As Event Organisers we are often asked why ‘Compulsory Equipment’ is included as part of some of our races. The simple answer to this question is that it’s about keeping participants safe, which is the number one priority in any decision making related to our events.
Compulsory Equipment lists are developed by the event team and experts in the area based on a number of factors. These include, but are not limited to:
- The general weather conditions in the area;
- Duration and distance of the course;
- Technical difficulty of the course;
- Event terrain;
- The remoteness of the event course;
- Time to emergency response;
- Time to hospital/medical services;
- Expected participants skill level; and
- Weather conditions on the day.
Compulsory equipment lists are developed based on what we believe is the minimum to keep our participants safe and well if they are delayed for any reason during the event.
Most times compulsory equipment won’t be needed during an event, however in the case where participants may find themselves injured, immobilised or exhausted, especially in poor weather conditions, then the compulsory equipment will aid survival until rescue can be actioned.
We are often asked why participants do not have the option to just take the gear that they think they require, and in an ideal world, this would be great, however, we don’t live in a world where we are able to know every person’s skills, knowledge and experience and their capacity to know and understand what the potential dangers could be.
Instead, we choose to use the experience, knowledge and expertise of those who are highly qualified in this area and have extensive knowledge of the local conditions to guide this decision making.
Another important aspect of an event is ensuring that it is fair for everyone participating. A compulsory equipment list means that each person is carrying the same gear as every other participant and that is why random gear checks are often carried out during events to ensure that the participant has everything they need to stay safe and that everyone is taking part in the spirit of the event.
How Old Do I Have To Be To Race?
The minimum ages for each race distance are shown on the Entry Tab.
Ages for entry and race categories are calculated as of the 31st December each summer (middle of the race season).
Can I Enter On The Day?
If you miss the entry closure at 5pm Wednesday prior to the event, late online entries are open until 30 minutes before the close of registration on the day.

No! A support crew is not allowed for Half Marathon competitors and is not necessary or required for Ultra competitors.

Can I Carry A Music Device?
Competitors are permitted to wear personal audio equipment whilst taking part in the event.
However all competitors must have one ear clear at all times so that you can hear other runners, other trail users and approaching vehicles. You must switch off music as you approach and pass Course Marshals so that you can hear any directions given to you, you must switch off music when travelling on all public roads/footpaths so you can hear approaching traffic and other users. So while you may use iPods/Music players, it is up to you to use them in a safe manner so that you remain aware of your surroundings and things happening around you at all times.
This is for safety reasons to ensure that runners can be alert to their environment and ensure it is an enjoyable experience for all involved.
What Equipment Will I Need For The Event?
Participants are required to be self-sufficient for the event.

What Happens If An Event Is Cancelled Or Rescheduled?

- A decision on event cancellation or rescheduling may be made on the evening before or on the day of an event.
- If an event is cancelled a notice will be posted on the event website and social media channels.

TreX X-Triathlon
The Tomaree Trail Run Festival is part of the Port Stephens MultiSport Weekend which includes the TreX Cross Triathlon Series hosted on Saturday in Fingal Bay.
TreX is triathlon but with a new twist as we head off road for a version of the sport with heart, grit and off road action. TreX includes a Swim, Mountain Bike and Trail Run on a pre-determined, marked course and is governed by the normal rules and guidelines of a traditional triathlon. Put simply, it’s the on road version of the sport transposed into a bushland setting with mountain bikes and off road trail shoes.
The event includes Standard, Sprint, Junior, Teaser and Dirt Kids Courses as well as a Duathlon and Aquabike format, so there’s something for all comers no matter what your age or ability.
